Terms of Service

These terms apply to organisations subscribing to Coaching Classes and to authorised users accessing the platform.

Last updated: 6 September 2026

1. The service

Coaching Classes provides hosted software for managing children's activities, including bookings, payments, customer records, registers, staff access, communications and reporting. Features may evolve where this does not materially reduce the service purchased.

2. Accounts and authority

A club subscriber must be at least 18 and authorised to act for the organisation. Account information must be accurate and kept current. Each user must use their own account, protect their credentials and promptly report suspected unauthorised access.

3. Trial, price and renewal

The standard club plan includes a 14-day trial followed by the recurring price shown at Stripe Checkout, currently £39.95 per month. A payment method is collected during signup. Unless cancelled before the trial ends, the subscription starts automatically and renews monthly until cancelled. Applicable taxes and any change to price will be shown or notified as required.

4. Cancellation and failed payment

A club can manage its subscription through the billing portal. Cancellation takes effect at the end of the paid billing period unless stated otherwise. We may restrict paid functionality after a failed payment, while allowing reasonable access needed to resolve billing or export data.

5. Stripe Connect and club payments

Clubs connect their own Stripe account to accept parent payments. The club is responsible for its products, prices, refunds, cancellations, taxes, customer service and compliance as merchant for those transactions. Stripe's own terms and processing fees apply. Coaching Classes does not add a percentage platform transaction fee under the standard plan.

6. Club responsibilities

  • Use the service lawfully and only for people and organisations you are authorised to manage.
  • Maintain accurate class, price, capacity, staff, medical, consent and safeguarding information.
  • Provide parents with the club's booking, cancellation, privacy and safeguarding policies.
  • Give users appropriate access and remove access promptly when no longer required.
  • Respond to parent enquiries and fulfil or refund the activities the club sells.
  • Obtain any consent or other lawful basis required for personal information and communications.

7. Acceptable use

You must not attempt to access another organisation's information, upload malicious material, interfere with security, send unlawful or unsolicited communications, misuse child information, reverse engineer protected parts of the service, or use the platform for unlawful, harmful or misleading activity.

8. Availability and support

We aim to provide a reliable service but cannot promise uninterrupted availability. Maintenance, provider outages and urgent security work may occasionally affect access. Support requests can be sent through the Help Centre or to info@coachingclasses.co.uk.

9. Data and intellectual property

Each club retains its rights in the information it uploads. The club gives Coaching Classes the limited permission needed to host, process, secure and transmit that information to provide the service. Coaching Classes retains rights in the platform, branding, documentation and underlying software.

10. Suspension and termination

We may suspend access where reasonably necessary to protect children, users, other clubs, payment systems or platform security; to investigate serious misuse; or following material non-payment or breach. Where appropriate, we will explain the issue and allow a reasonable opportunity to remedy it.

11. Responsibility and liability

The club remains responsible for delivery and safeguarding of its activities and for decisions made using its records. Nothing in these terms limits liability where it cannot lawfully be limited, including for fraud or death or personal injury caused by negligence. Subject to that, neither party is responsible for indirect or consequential loss, and Coaching Classes' aggregate contractual liability is limited to fees paid by the affected club in the 12 months before the event giving rise to the claim.

12. Changes and law

Material changes will be notified through the service or by email. These terms are governed by the laws of England and Wales and the courts of England and Wales have jurisdiction, subject to any mandatory rights that apply.
